Human voice basics

A simple definition of “human” writing and how to consistently create it.

Guide

What “human” sounds like

  • Clear goal in the first lines
  • Everyday words (not corporate filler)
  • Short paragraphs
  • A real next step

What makes writing feel automated

  • Overly formal openers
  • Long, uniform sentence structure
  • Vague timing (“soon”, “shortly”)
  • Passive voice when accountability matters

One-minute rewrite method

  1. Write the main point in one sentence.
  2. Add one detail (date/next step).
  3. Add one warm line if appropriate.
  4. Cut everything that doesn’t change meaning.

Example

Before: “I am reaching out to follow up regarding the matter at hand. Please be advised we will provide an update shortly.”

After: “Quick follow-up: we’re still working on this and I’ll update you by 3pm today.”
