Message structure patterns

7 simple structures that make emails and messages instantly clearer.

Guide

1) Ask → Context → Next step

Example: “Can we move our call to Thursday at 2pm? I’m booked tomorrow. If Thursday works, I’ll send an updated invite.”

2) Status update

Status → what changed → what’s next → when you’ll follow up.

3) Apology

Own it → fix → prevention → follow-up time.

4) No-pressure follow-up

Reminder → value → easy next step.

5) Boundaries

Respect → boundary → alternative.

6) Answer first

Give the answer first, then explain.

7) Two options

Offer two options so choosing is easy.
