Tone checklist (10-point)

A practical checklist you can run through in 60 seconds before you hit send.

1) Make the goal obvious

In the first 1–2 sentences, the reader should know what you want (inform, ask, confirm, apologize, schedule).

2) Use active voice for responsibility

Passive voice can sound evasive. Use active voice when you’re taking action.

3) Replace formal phrases

Swap “Please be advised” → “Just a heads-up,” and “at your earliest convenience” → “when you get a chance.”

4) Add one concrete detail

A date, a number, or a named next step makes writing feel real.

5) Keep paragraphs short

Use 1–3 sentences per paragraph.

6) Add a human line

One sincere line is enough: “Thanks for the heads-up,” “I appreciate your patience,” “Totally understand.”

7) Remove redundancy

If two sentences say the same thing, keep the clearer one.

8) Make the next step explicit

End with who does what next — and when.

9) Match the reader’s energy

Overly formal replies to casual messages read as automated.

10) Read it out loud

If it sounds weird out loud, it will feel weird on screen.
